POPIA Privacy Notice
This notice explains how Apex Inspection Authority (Pty) Ltd (registration 2025/561896/07) (“Apex”, “we”, “us”) collects and processes personal information in terms of the Protection of Personal Information Act, 4 of 2013 (“POPIA”).
1. Who we are

2. What we collect
- Identity and contact details you submit through our enquiry or RFQ forms (name, company, role, email address, telephone number).
- Project information you choose to share with us (sector, location, scope descriptions).
- Correspondence records when you email, call or message us.
- Standard technical data generated when you browse this website (where analytics is enabled).
3. Why we process it
- To respond to enquiries and prepare quotations and inspection proposals.
- To perform contracted inspection, auditing and consulting services, including the preparation of inspection records and quality documentation.
- To meet legal, regulatory and accreditation obligations (including record-retention requirements under ISO/IEC 17020 and ISO 9001 disciplines).
- To send you a copy of our company profile or follow up on a request you initiated.
4. Lawful basis
We process personal information with your consent (which you may withdraw at any time), to conclude or perform a contract, to comply with the law, or in pursuit of our legitimate interests as an independent inspection body — whichever applies to the processing in question.
5. Sharing
We do not sell personal information. Information is shared only with service providers who process it on our instruction (for example, form-handling and email providers), with your organisation in the course of an engagement, or where the law requires disclosure. Inspection records identifying client personnel are handled under the same confidentiality controls that govern all Apex project documentation.
6. Retention
Enquiry information is retained for as long as needed to respond and follow up. Project and inspection records are retained for the periods required by the applicable codes, contracts and accreditation requirements, after which they are securely destroyed.
7. Security
We apply appropriate, reasonable technical and organisational measures to protect personal information against loss, damage and unauthorised access — consistent with the document-control discipline that governs our inspection records.
8. Your rights
- Request access to, or correction or deletion of, your personal information.
- Object to processing or withdraw consent previously given.
- Lodge a complaint with the Information Regulator (South Africa): inforegulator.org.za.
